Professional Development

Q: I have a question, who should I contact?
A: Please email Nicki Manion at manion@rose-hulman.edu with any questions. We will get back to you as soon as possible. Don’t forget to add this email address to your contacts so our responses do not go to your spam folder.

Q: How do I sign up?
A: Sign-up Procedure: You are welcome to sign up for as many workshops as you would like. We will do our best to accommodate as many educators as possible. Please make sure to put a calendar placeholder for all the workshops you registered for.

After submitting this form:
  • Every registration will be on a provisionary basis.
  • RSVP emails will be sent around 45 days prior to the start day of workshop. You will have about 7-10 days to confirm your participation and lodging needs (if available.)
  • Reminder emails will be sent about 1-month, 1-week, and a few days prior to workshop.

Cancellation Policy: We truly understand that when life happens, and you need to cancel then you have to cancel. If you need to cancel, please contact Nicki Manion (manion@rose-hulman.edu) as soon as possible especially when lodging has been arranged. We do get charged for No Shows.

Late or Last-minute Registration: We will do our best to fit you into a workshop. However, lodging may or may not be available

Q: When does registration close?
A: We will accept registration for workshops on a first-come, first-served basis until they are full.

Q: Do I need to bring my computer?
A: Yes, please bring your laptop with you to the workshop to use and develop your own lessons. Also, bring a few lessons / activity guides (digital form) to share. These should be some of your most successful lessons and activities that you get to show off! Don’t forget the charger/extended batteries.

Q: What is included in a professional development workshop?
A: Most professional development opportunities are free to K-12 educators. Attendees can select any PD workshop and participate in a small-group setting with personalized attention throughout the session. Those who complete the experience are eligible for a stipend or sub-pay reimbursement for their time and effort, as well as PGP points for their participation.

Q: What is included in workshop registration?
A: Workshop registration includes free computer science educational training, small group participation, and personal attention. Educators may also receive a travel stipend or sub pay reimbursement, as well as Indiana Professional Growth Plan points.

Q: How will sub pay reimbursement be awarded?
A: Email Nicki Manion (manion@rose-hulman.edu) an invoice billing Educational Outreach Program at Rose-Hulman within 60 days of the workshop. Invoices received more than 60 days after the workshop will not be processed for payment.

Q: I am registered for a PD workshop. Where will I stay?
A: Participants will be housed at no cost, contingent on available funds, in either residential halls on campus or nearby hotels. If staying on campus, a signed RHIT Waiver form (or Assumption of Risk and Release Waiver) is required prior to arrival.

Q: Are professional development workshops a hybrid event?
A: Most workshops are fully in-person events. If anything changes, we will contact participants.

Q: How do I make sure I get all the information that I need for the workshops?
A: Please make sure to provide both your personal email address and your school email address for all communications. Add manion@rose-hulman.edu to your address book to help prevent our emails from going to your spam folder. Please make sure to check your spam and junk folders for any communications.

Q: Where will the PD workshop be held?
A: Workshops will be hosted on the beautiful Rose-Hulman campus in Terre Haute, Indiana.  The city is approximately one hour from Indianapolis, three and a half hours from Chicago and three hours from St. Louis, Louisville, and Cincinnati.

Q: Do I have to book my own hotel room?
A: All accommodations will be managed by the Educational Outreach Team. Once your registration is accepted, we will provide details regarding your lodging accommodations at Rose-Hulman or a nearby hotel.

Please note that hotel rooms booked outside of this process will not be reimbursed. All hotel rooms are single occupancy, and any additional occupants or surcharges will be your responsibility.

Q: What time will workshops start and end each day?
A: Classes will be held in campus buildings. One-day workshops consist of 6 contact hours with a 1-hour lunch break and can be scheduled anytime between 8:00 AM and 5:00 PM Eastern Time. The exact schedule may vary at the facilitator's discretion.

Q: I am a commuter and live under 50 miles from Rose-Hulman. What does that mean for me?
A: Lodging may not be provided for those living within 50 miles of Rose-Hulman, as it is considered a standard commute. Those living 25–50 miles away may request lodging.

All attendees will receive daytime meals, snacks, supplies, and evening events. Mileage reimbursement (up to 50 miles daily) is available for those within 50 miles who do not require lodging. This is contingent on funding and availability.

Q: How do I get reimbursement? What forms do I need?
A: Please ensure that your W-9 Form and ACH Direct Deposit Form are completely filled out. Links to upload these forms will be provided closer to your workshop date. The W-9 form needs to be completed annually, while the ACH form is only required if there are changes. Forms must be turned in within 30 days from workshop. After this 30-day period, the forms may no longer be accepted, or the opportunity to process them could be forfeited. Reimbursement will be contingent on eligibility and availability of funds.

Q: What are the requirements to receive an attendance incentive?
A: Contingent on funding and availability, participants may be eligible to receive an attendance incentive or stipend for their participation in workshops on non-academic school or workday. Please ensure we have your W-9 and ACH forms completely filled out. All required pre- and post-work and active participation throughout all professional learning at workshops are required. Feel free to contact program administrator with any questions. Forms must be turned in within 30 days from workshop. After this 30-day period, the forms may no longer be accepted, or the opportunity to process them could be forfeited.

Q: What information will you need to provide in order to receive an attendance incentive or stipend?
A: All participants will be asked to complete a quick survey with payment information as part of their pre-work. Participants are strongly encouraged to completely fill out a W-9 and ACH prior to attending workshops to avoid delay in payment. Incentive will be contingent on eligibility and availability of funds. Forms must be turned in within 30 days from workshop. After this 30-day period, the forms may no longer be accepted, or the opportunity to process them could be forfeited.

Q: What about parking?
A: All parking is free of charge on a first-come, first-served basis. Typically, parking is available in the lot near the building or classroom where the workshop is held. Additional parking is available in the visitors’ lot near the front of campus, next to Highway 40. Please note that doors to all academic buildings are locked during Rose-Hulman breaks.

Q: What should I expect?

Q: Who teaches in the program?
A: Members of Rose-Hulman's full-time faculty who combine professional expertise and personal attention to help K-12 educators and professionals thrive.

Q: Where will I have meals? What meals are included? What if I have special dietary needs?
A: Meals, breakfast, lunch, and dinner, and snacks may be available (contingent of available funds). Most meals will be included with your accommodations or served in the dining facilities located in the Mussallem Union. Q: Lodging on campus: What will I need to bring with me for overnight stays in Rose-Hulman residence halls?
A: Casual Clothes: shorts, T-shirts, jeans, athletic shoes are all acceptable in and out of the classroom. Long pants and close-toed shoes are required for labs and field trips. Athletic Equipment: Tennis Racquet, Softball Glove, Swimsuit.  Linens: Towels & Washcloths, Blanket.  NOTE: All bed linens will be provided by Rose-Hulman.  Miscellaneous: Toiletries (soap, deodorant, shampoo, etc.), Alarm Clock, Small Radio, Camera, Laptop, Charger/Extended Batteries. Other Items: Reusable Water Bottle, Business Cards, Notebook & Pen.

Q: What types of medical and health services are available?
A: There are two major hospitals within a 15-minute drive of campus in Terre Haute in addition to our campus services.

Q: Are there facilities for recreation and leisure on campus?
A: Yes, our Sports & Recreation Center (SRC) is available for your use.  You will get a temporary access card to enter the facility. The SRC includes a competition-sized swimming pool, basketball courts, racquetball, indoor track, weight room and cardiovascular equipment.  You can also enjoy hiking, the campus lakes, and the game room. You MUST have a signed Assumption of Risk and Release Waiver filled out prior to using facility.

Mentorship

Q: What is EMERGE?
A: EMERGE is a mentorship and outreach program connecting Rose-Hulman students with K-12 learners to provide mentorship, academic support, and hands-on STEM experiences.

Q: Who can become a mentor?
A: Any Rose-Hulman student passionate about STEM and interested in mentoring K-12 students is welcome to join. No prior mentoring experience is required.

Q: What kind of mentorship activities will I participate in?
A: Mentors engage in activities such as tutoring, leading STEM workshops, assisting with hands-on projects, and supporting K-12 students in competitions or classroom activities. Funding may be available to support student-led STEM outreach projects.

Q: How much time do I need to commit?
A: The time commitment is flexible. Mentors can participate in one-time events, ongoing mentorship, or project-based support depending on their availability.

Q: What skills or experience do I need to be a mentor?
A: No specific experience is required—just enthusiasm for STEM and a willingness to help younger students learn. Training and resources will be provided.

Q: How do I sign up to become a mentor?

Q: Will I receive any training before mentoring?
A: Yes. We provide training sessions to help you develop mentorship skills, understand best practices, and feel confident working with K-12 students.

Q: Can I choose the age group or type of mentorship I participate in?
A: Yes, we match mentors with opportunities based on their interests, skills, and preferred age group.

Q: Is there an opportunity for leadership roles within EMERGE?
A: Yes. Experienced mentors can take on leadership roles, helping to organize events, develop outreach activities, and mentor newer volunteers.

Q: Will this experience help me in my career?
A: Absolutely. Mentorship develops leadership, communication, and teaching skills—highly valued by employers and graduate programs.

Q: Can I propose my own outreach or STEM project?
A: Yes. We encourage innovative ideas, and funding is available to support student-led STEM outreach projects. If you have a project idea, we can help with resources, materials, and funding to bring it to life.

Q: I don’t have a car. How will I get to events?
A: We can help connect you with other mentors or provide transportation support for events. We’ll do our best to accommodate everyone, including those without personal transportation.

Outreach

Q: What grade levels can participate in these programs?
A: Our programs are designed for all K-12 students, with activities tailored to different age groups and learning levels.

Q: How often can Rose-Hulman student mentors visit our school?
A: The frequency of visits depends on mentor availability and your school or competition team’s needs.

Q: Are the mentorship opportunities free for schools?
A: Yes. These opportunities are provided at no cost to participating schools.

Q: Can we request a specific STEM topic for our students?
A: We do our best to customize sessions based on your school’s interests and curriculum goals.

Q: Do the students need prior STEM experience to participate?
A: No prior experience is necessary. Our activities are designed to be accessible and engaging for all skill levels.

Q: Are these opportunities available for after-school programs or team practices?
A: Yes. We provide STEM workshops and mentorship during school hours or as part of after-school programs or team practices.

Q: Can you accommodate virtual mentorship or workshops?
A: Yes, we offer virtual mentorship opportunities and online workshops when in-person visits are not possible.

Q: What kind of hands-on activities are included in the workshops?
A: Workshops may include coding challenges, engineering design projects, robotics demonstrations, and hands-on experiments.

Q: What level of experience should our team have before requesting support for robotics or drone activities?
A: We support teams at all levels, from beginners to experienced competitors.

Q: How do Rose-Hulman mentors help teams prepare for workshops, scrimmages, and competitions?
A: Rose-Hulman mentors work with teams to help them prepare by offering guidance in areas such as programming, mechanical design, strategy, and team coordination. We provide support to ensure teams are well-prepared for workshops, scrimmages, and competitions.

Q: Are the scrimmages and competitions open to all teams, or do we need to qualify?
A: Scrimmages are open to all teams—no qualification necessary. Competition entry may depend on event-specific rules. Please note that scrimmages and workshops may have a charge if they are part of a sanctioned event.

Q: Can RHIT mentors come to our school, or do we need to visit campus?
A: We can arrange both on-campus and off-site support, depending on mentor availability.

Q: Can you help teams find funding or sponsorships?
A: While we don’t directly fund teams, we can provide guidance on grant opportunities and sponsorships.
