E-Mail Usage

Sent E-Mail

To maintain a safe e-mail environment several restrictions are imposed on sending e-mail.

  • Viruses and Malware

    All sent e-mail is actively scanned for viruses and malware. E-Mail that contains either will be bounced back.

  • Max Recipients

    In order to help prevent abuse, the Institute has chosen to limit the number of recipients of a single email sent by students to 50. Staff may send email to 5000 recipients.

  • Message Size

    In order to help prevent abuse, the Institute has chosen to limit the maximum size of a message to 100 MB.

Deleted Items Retention Policy

Any items in your Exchange Deleted Items folder, which are more than 7 days old, are subject to an automatic daily purge to recover storage space. Your Exchange Deleted Items folder is located in the Mailbox - Your Full Name section of Outlook.

Items kept in other folders will not be purged. Items kept in your local Deleted Items folder in the Personal Items section will not be purged as these are located on your local PC. If you have any questions about this policy, please contact the Help Desk.

Student Quotas

Within Exchange, all students have a 500MB quota. This space is separate from your AFS disk space and is stored on a different server. Upon reaching 500MB, you will no longer be able to send or receive email until your Exchange account is reduced to less than 500MB. At 450,000 the server will send you a notification similar to the following:

From: System Administrator
To: Your Name
Subject: Your mailbox is over its size limit
Importance: High

Your mailbox has exceeded one or more size limits set by your administrator.
Your mailbox size is 450,000 KB.
Mailbox size limits:
You will receive a warning when your mailbox reaches 450,000 KB. You may not be able to send or receive new mail until you reduce your mailbox size.
To make more space available, delete any items that you are no longer using or move them to your personal folder file (.pst).
Items in all of your mailbox folders including the Deleted Items and Sent Items folders count against your size limit.
You must empty the Deleted Items folder after deleting items or the space will not be freed.
