Student insurance options

All registered students are required to show proof of health insurance. Beginning with the Fall quarter of each academic year, the student insurance premium will be added to the invoice. Current students can waive this premium by completing the insurance waiver form found in the Banner system. Parents should consult the parents pages for forms and answers to questions. This waiver must be completed at the beginning of each academic year. Students participating in the COOP or Studies Abroad programs must also show proof of insurance.

Student accident/illness coverage

Rose-Hulman Accident/Illness Insurance is automatically charged to all students at the start of each school year. In order to waive the student insurance charge, the student and/or parent will need to process an online waiver at the start of each school year. If the student has other health or accident/illness insurance and does not need the RHIT coverage, an electronic waiver must be completed each school year. Insurance coverage can be added or deleted (waived) at the start of any quarter. Any waivers or additions submitted after the start of a quarter will be applied to the following quarter. Insurance cards along with an insurance packet are sent to students by campus mail in late September/early October each year. As long as the student has been billed for student insurance coverage in spring quarter, they will have coverage in place through the summer months. Policy effective dates will vary each school year so please review the student insurance brochure for policy dates or contact the Manager of Insurance and Risk Management at x8457.

You DO NOT have to use a network provider in order to have coverage under the student insurance plan. A network provider just offers a reduced rate with less out of pocket expense to the student. If you would like to locate a network provider offered through the Student Accident/Illness carrier, please go to our carrier's website and select Rose-Hulman Domestic or International from the school list. Click on the submit button and then select the "Find a Provider" link on the left hand side of the "Welcome" screen.

Domestic insurance claim procedures

A claim form must be completed and submitted to the insurance carrier at the address listed on the claim form. The carrier will not accept a universal claim form from a provider. Claim forms can be obtained outside the office of the Manager of Insurance and Risk Management (A101-Moench Hall) or by visiting the carrier's website.

The student insurance policy does not have a deductible. If the medical service being provided is for an illness, the policy pays set dollar limits as noted in the student brochure up to $5,000 and then pays 80/20 up to $50,000 per injury. If the medical service being provided is for an injury, the policy pays 100% of the URC (usual, reasonable and customary) charge up to $5,000 and then 80/20 up to $50,000 per injury. The student has twelve (12) months from the date of service to submit all bills or requested documentation to the carrier. Rose-Hulman does not accept or assume responsibility in the event a claim or service may be denied payment by the carrier.

International insurance claim procedures

In order to decrease the deductible charge, an insurance referral letter should be obtained from our campus physician whenever medical services are referred off campus. Please review the Deductible section in the Rose-Hulman International Student brochure, located on the carrier's website, for an explanation of deductibles, exclusions, medical benefits and claim procedures. Claims will not be paid unless an Institute claim form is completed and provided to the carrier. The carrier will not accept a universal claim form from a provider. Student insurance when traveling abroad

Medical coverage for traveling abroad is the responsibility of the student and can be purchased from any insurance agent or broker. The RHIT Student Accident/Illness insurance plan does cover medical fees (when billed in U.S. codes) while traveling abroad and also includes medical evacuation and repatriation of remains coverage. The fees incurred while abroad will be paid directly to the student, not the medical provider, after all supporting documentation has been submitted to the student insurance carrier. Be aware, if the medical facility abroad can not convert the medical charges incurred to U.S. medical codes, the student insurance carrier will not be able to reimburse those expenses. Unless a special medical coverage abroad policy is purchased, the individual will most always be required to pay all medical fees upfront at the time of service and wait for reimbursement form any other medical policy in place. Student Travel abroad coverage can be obtained online through a number of insurance carriers such as CMI Insurance or by contacting your local Life/Health or Property and Casualty agent.

Athletic insurance

Athletic injury insurance is available for students who participate in an intercollegiate sport. The athletic intercollegiate policy affords excess insurance coverage that will pay eligible expenses after any other collectible insurance has been exhausted. The bills incurred by the student athlete must first be submitted to the family's insurance policy for reimbursement.

Automobile insurance

You must be listed on the RHIT Authorized Driver list prior to renting a vehicle or driving a RHIT owned vehicle. Only RHIT authorized drivers may drive these vehicles for RHIT business purposes. RHIT vehicles cannot be used for personal use. If a student needs to drive an Institute owned vehicle or non-owned vehicle for RHIT business purposes, the student must provide our Manager of Insurance and Risk Management with a signed authorization from the department supervisor making the request.

Any student who will be driving for an approved club event must obtain their own Bureau of Motor Vehicle report, at their expense, from the state where they are licensed. The student will have 30 days from the date of the received report to submit the information to the Manger of Insurance and Risk Management. Any reports over 30 days old will not be accepted. If the student meets the carrier's guidelines, they will be added to the Student Approved Operator list for that school year. Students must obtain a current motor vehicle report and reapply to be listed on the student operator list each school year. Student approval does not carry over from year to year.

Student groups/organizations that compete with other schools are classified as RHIT Clubs. Student groups/organizations that do not compete with other schools are classified as Intramural groups/activities. Intramural groups/activities are not permitted to use RHIT vehicles.

Employees wishing to qualify as an Authorized Driver must complete a Motor Vehicle Background Check and return it to our Manager of Insurance and Risk Management. An employee will remain on the approved operator list until they cease employment, ask to be removed from the list or no longer meet the carrier's guidelines.

If an MVR comes back that is considered by standards established by our insurance carrier to be an at-risk driver, the individual will be restricted from driving Institute owned and non-owned/leased vehicles until further notice.

The Institute's insurance carrier will not pay claims involving a non-authorized driver. It is the individual and/or department's responsibility to verify that the driver of the rental or RHIT owned vehicle is listed on our Authorized Driver list. Please note the following additional items related to vehicle insurance and rental:

  • All persons utilizing ANY institute owned or rental vehicles must wear seat belts at ALL times. Drivers are also not authorized to use cellular phones while driving. Please pull off the road to use a cell phone.
  • The RHIT auto policy includes a $1,000 deductible for all collision claims and a $500 deductible for all comprehensive claims. Deductibles are the responsibility of the department using the institute owned vehicle, or rental vehicle when rented in the name of RHIT, at the time of the occurrence.
  • RHIT suggests that you do not take the Physical Damage coverage or any of the additional insurance coverage's offered through the rental agency.
  • RHIT DOES NOT permit the use of 11-, 12- and 15-passenger vans under any circumstances. Due to national highway safety issues concerning 11-, 12- and 15-passenger vans, RHIT will not authorize or reimburse expenses associated with these vehicles. The Institute's carrier will not cover accidents occurring as a result of the use of these vehicles.
  • Please inspect rental vehicles prior to leaving the rental facility. If you notice any damages to the rental vehicle, even if minor, bring this to the attention of the rental company. If there is preexisting damage, request that the rental agent give you something in writing stating that the damage was preexisting. Failure to do so may leave RHIT/your department responsible for these damages.

Vehicle use abroad

If you will be driving a vehicle while abroad, ALWAYS take the insurance coverage offered by the rental agency. Rose-Hulman's Auto and General Liability policy will not afford liability coverage to protect you or any damage sustained to the vehicle while abroad. This includes Canada and Mexico.

Vehicle accident reporting

If an employee or student should have an accident while in an Institute owned or non-owned vehicle, the individual should contact the local authorities and our Manager of Insurance and Risk Management (x8457). If the accident happens on campus, the employee/student should also contact RHIT Campus Security (x8911) so an incident report may be completed. Steps to follow in an accident:

  • Stop immediately, do not leave the scene of the accident and do not move your vehicle until instructed to do so by the police.
  • When the accident occurs off campus, call the local police in the accident area and Risk Management (x8457).
  • For accidents occurring on campus, contact Campus Security (x8590) and Risk Management (x8457).
  • Exchange identification and insurance information with the other driver(s).
  • DO NOT give statements to anyone except the police, RHIT's Manager of Insurance and Risk Management and RHIT Campus Security. Statements may be given to our insurance carrier and any other insurance carrier involved in the claim after a report has been filed with Risk Management (x8457).
  • Be courteous, cooperative and reasonable.
  • Do not admit or deny blame. Do not sign anything.
