THE CONSTITUTION OF THE ROSE-HULMAN VOLLEYBALL CLUB

ARTICLE I

  • NAME

    The name of this club shall be the Rose-Hulman Volleyball Club.

    ARTICLE II

  • OBJECTIVE

    The primary goal is to advance the skill levels of the members and to promote the knowledge of the sport.

    ARTICLE III

  • MEMBERSHIP
  • Section 1 - Eligibility

    Any student or employee of Rose-Hulman Institute of Technology is eligible for membership.

  • Section 2 - Active Membership

    A. Any member of the Rose-Hulman Volleyball Club who has paid the required dues, and has attended or been excused from a total of two-thirds of the meetings during a quarter is considered an active member.

    B. All members who are not on the active list are considered probationary (non-active) members. This status drops once the requirement of Article III Section 2A is met.

  • Section 3 - Voting Rights

    Any active member of Volleyball Club shall have the right to participate in any vote of the general membership. All active members are given one vote.

    ARTICLE IV

  • OFFICERS
  • Section 1 - Elected Officers

    The elected officers of the club shall be the President, Vice President, Secretary, and Treasurer to be elected as specified in Article IV, Section 4.

  • Section 2 - Term of Office

    The election of new officers will take place during the last two weeks of spring quarter. The term of office is from the beginning of the fall quarter to the end of the spring quarter of the following school year.

  • Section 3 - Presiding Officers

    The presiding officer at all club meetings shall be the President. Should the President not be able to preside or requests not to, the new presiding officer will be determined by rank: Vice President, then Secretary, and finally Treasurer.

  • Section 4 - Nomination and Election of New Officers

    A. A candidate becomes a nominee when he or she has been nominated and seconded for that position.

    B. Nominees will be given a maximum of 5 minutes to present a speech to the general membership explaining their reasons behind running for office, qualifications, goals, etc. The other nominees for the same office will not be present. After all of the nominees have completed their speeches, there will be a short question and answer session with all of the nominees present. Then, the nominees will leave the room and will be voted on by secret ballot.

    C. The nominee receiving a simple majority of the votes will win the office.

    D. In the case of a majority not being reached, the members present will vote again on the two nominees receiving the most votes.

    E. The election will be held in descending order (i.e. - the position of President will be decided, then Vice President, then Secretary, and finally Treasurer.)

  • Section 5 - Duties of Officers

    A. The duties and powers of the President are as follows:

    1. To serve as presiding officer at club meetings.
    2. To represent Volleyball Club at all functions deemed necessary.
    3. To approve the Treasurer to buy necessary equipment required to run the club in an efficient manner.
    4. To setup for club meetings. The President must reserve the gym, reserve a class room, setup volleyball courts, or anything else deemed necessary to run a meeting efficiently.
    5. To appoint a Faculty Advisor.
    6. To hold at least one meeting per month.
    7. To compile a report to be given to the following President.

    B. The duties and powers of the Vice President are as follows:

    1. To assume and perform all duties of the President in the event of his absence or upon his request.
    2. To perform any and all other duties which may be delegated or requested of him by the President.
    3. To compile a report to be given to the following Vice President.

    C. The duties and powers of the Secretary are as follows:

    1. To keep records of the attendance at all volleyball meetings.
    2. To record the minutes of all club meetings.
    3. To submit a quarterly written report of attendance to the President and Faculty Advisor to keep them informed of an up-to-date list of active members.
    4. To compile a report to be given to the following Secretary.

    D. The duties and powers of the Treasurer are as follows:

    1. To maintain an accurate and true written record of all the funds of the Volleyball Club. This record includes a ledger stating the exact total of the current volleyball account at all times and a copy of all receipts sent to the Treasurer of SGA.
    2. To handle all financial matters of the Volleyball Club which might include distribution of money when authorized by the President.
    3. To collect all dues when necessary.
    4. To compile the annual budget with the assistance of the other club officers and the Tournament Team Head Coach.
    5. To compile a report to be given to the following Treasurer.
  • Section 6- Vacant Offices

    If any office becomes vacant, that office must be filled according to the election procedures outlined in Article IV, Section 4.

  • Section 7 - Removal of an Officer from Office

    Should an active member believe that an officer is not acting in the best interest of the club, that member can call a general meeting. If one-half of a quorum votes in favor of the removal of the officer, that officer must step down and the election for the new officer will occur at the next scheduled meeting.

    ARTICLE V

    MEETINGS
  • Section 1 - Meetings

    A. Advance notice of at least two days must be given in announcing club meetings.

    B. A meeting is defined as a normal club practice or an official time that members assemble for business purposes.

    C. The President may call any special meetings deemed necessary.

  • Section 2 - Calling of Elections

    The President of the Rose-Hulman Volleyball Club shall call a special meeting for the purpose of electing new officers during the last two weeks of Winter quarter. The election meeting will be held in a quiet, isolated room. The gym, auditorium, and union are not considered suitable places for an election.

  • Section 3 - Definition of a Quorum

    A quorum shall consist of at least three-fourths of the active members.

    ARTICLE VI

  • ADVISORY CAPACITY
  • Section 1 - Appointment of Faculty Advisor

    A faculty advisor who shows genuine interest in the Volleyball Club will be appointed by the President subject to the approval of the other officers and the Dean of Students.

  • Section 2 - Dismissal of a Faculty Advisor

    The faculty advisor may be dismissed from the position if his actions become detrimental to the Volleyball Club. This dismissal is accomplished through the unanimous vote of the officers and a two-thirds or more vote of quorum of the active general membership at a meeting called for such purpose. It must then be approved by the Dean of Students.

    The faculty advisor shall have a vote in every decision open to the general membership.

    ARTICLE VII

  • TOURNAMENT TEAM
  • Section 1- Eligibility for membership

    Any active member or first year Rose-Hulman student is eligible to be a member of the Tournament Team.

  • Section 2 - Election of the Head Coach

    A. A Head Coach will be elected during the last two weeks of Spring quarter.

    B. The Head Coach will hold office from the beginning of the Fall quarter of the year he or she was elected until the end of the following

    C. The current Tournament Team members will elect a Head Coach according to the election procedures outline in Article IV, Section

    D. All members, including all officers, are eligible for the position of Head Coach.

  • Section 3- Duties and Powers of the Head Coach

    A. To appoint an Assistant Coach if deemed necessary.

    B. To coordinate and schedule tournaments, both home and away.

    C. To schedule regular training periods for the Tournament Team.

    D. To determine the number of tournament teams and who will play what position on each team.

    E. To prepare a report for the following Head Coach of the Tournament Team.

    ARTICLE VIII

  • PARLIAMENTARY AUTHORITY

    The rules contained in the current edition of Robert's Rules of Order Newly Revised shall govern this organization in all cases to which they are applicable and in which they are not inconsistent with this constitution and any special rules adopted by the organization.

    ARTICLE IX

  • AMENDMENTS
  • Section 1 - Submitting an Amendment

    Any proposed amendment shall be submitted in writing by any active member of the Volleyball Club to the President.

  • Section 2 - Voting Process

    A. Such amendment shall be read before the general membership at the next meeting of that body. After such amendment has been read and explained, there shall be a discussion period after which a vote shall be taken. A vote may be delayed until the next general meeting if one-third of the voting members wish a delay.

    B. Should the vote recorded for the adoption of the amendment be less than two-thirds of the quorum, the amendment will fail and no further consideration will be given to it for one full quarter.

    C. Should the vote recorded for the adoption of the amendment be two-thirds or more of the quorum, the amendment shall be considered in effect and shall be added to or become a part of the Constitution of the Rose-Hulman Volleyball Club.

    These amendments shall govern this organization in all cases to which they are applicable and in which they are not inconsistent with this constitution and any special rules adopted by the organization.
